This Privacy Policy explains how SALESGROUP, INC. and its affiliates, doing business as Wordwriter AI (“Wordwriter,” “we,” “us,” or “our”), collect, use, disclose, and protect personal information when you use our websites, applications, browser extensions, products, AI services, and related services (collectively, the “Services”).
By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.
This Privacy Policy should be read together with our Terms of Service and Data Processing Agreement.
1. Scope
This Privacy Policy applies to information we collect when you:
- Visit our website at https://wordwriter.co
- Create or manage an account
- Use Wordwriter AI web applications, writing tools, and image generation features
- Purchase a subscription or make a payment
- Contact our support team or communicate with us
- Use the Wordwriter Research Clipper browser extension
- Interact with our emails, content, or marketing pages
- Engage with our advertisements on third-party platforms
This Privacy Policy does not apply to third-party websites, apps, or services that we do not control, even if they are linked from our Services. We are also not responsible for the privacy practices of underlying AI model providers (Google, OpenAI, Anthropic) beyond the scope of their processing of data on our behalf.
2. Information We Collect
A. Information You Provide Directly
You may provide us with:
- Name and contact details
- Email address
- Account login credentials (passwords are stored in hashed form)
- Billing address and transaction information
- Company or organization information
- Support requests and correspondence with our team
- Content you submit, upload, generate, or save through Wordwriter AI — including text prompts, source documents, images, and AI-generated outputs (“User Content”)
- Preferences, settings, and project information
- Feedback, reviews, and survey responses
B. Information Collected Automatically
When you use our Services, we and our third-party service providers may automatically collect:
- IP address
- Browser type and version
- Device type, model, and operating system
- Approximate location derived from IP address
- Pages viewed, features used, and referring URLs
- Search terms and clickstream data
- Timestamps, usage patterns, and session activity

C. Information from Payment and Service Providers
If you subscribe to paid features, we use Stripe, Inc. to process payments. Stripe collects payment information (such as credit card details, billing address, and transaction data) directly from you on our behalf. We do not store full payment card numbers on our servers. We receive from Stripe limited information such as transaction status, subscription tier, and the last four digits of your payment method. Stripe’s handling of your information is governed by its own privacy policy, available at https://stripe.com/privacy.
D. Information from Integrations and Third Parties
If you use integrations, sign in through a third-party identity provider, or interact with third-party tools connected to Wordwriter AI, we may receive information needed to provide the requested functionality, such as your name, email, profile photo, and authentication tokens.
E. Information from Public Sources and Marketing Partners
We may receive information about you from publicly available sources, marketing databases, and our advertising partners (such as Meta, Google, and LinkedIn) to help us understand our audience and improve our marketing.

We use personal information to:
- Provide, operate, maintain, and improve the Services
- Create and manage user accounts and authenticate users
- Process payments and manage subscriptions

- Personalize user experience and settings

4. AI Features, Model Providers, and User Content
How Our AI Service Works
Wordwriter AI is powered by leading large language models from multiple providers, including Google (Gemini), OpenAI (GPT), and Anthropic (Claude). When you submit a prompt or request, our system automatically selects the most appropriate underlying model based on the task in order to deliver the best output.
What This Means for Your Data
When you use AI features, the following data may be transmitted to one or more of these third-party AI model providers:
- The prompt or instruction you submit
- Any source material, text, or files you provide as context
- Selections, edits, or refinements you make
- Generated outputs (for safety filtering and quality measurement)
We use this information to:
- Provide the requested AI functionality
- Improve feature quality, safety, and reliability
- Detect abuse, fraud, and policy violations (including violations of our prohibited content policy)
- Maintain service performance and security
Our Commitments Regarding AI Data
- We use commercially reasonable efforts to select AI providers that do not use customer prompts or outputs to train their foundation models by default.
- We have data processing agreements with our AI providers governing how they handle data.
- The specific model used for any given request is determined dynamically and may change.

AI Image Generation
Wordwriter AI offers AI image generation. As described in our Terms of Service, we strictly prohibit the use of our Services to generate NSFW content, sexually explicit content, child sexual abuse material, non-consensual intimate imagery, or other prohibited content. We use automated content-safety filters and may conduct human review of flagged content to enforce these restrictions. Violations may result in account termination and, where required by law, reporting to law enforcement.
5. Cookies and Similar Tracking Technologies
We use cookies and similar technologies (such as web beacons, pixels, and local storage) to:
- Keep you signed in
- Remember your preferences
- Secure your sessions
- Understand how the Services are used
- Improve performance and usability

Google Analytics
We use Google Analytics, a web analytics service provided by Google LLC, to understand how Users interact with our Service. Google Analytics collects information such as IP addresses (truncated where required), device identifiers, browser type, pages visited, time spent on pages, and referring URLs.

Microsoft Clarity

PostHog
We use PostHog, a product analytics platform, to understand how users interact with our Services and improve our product. PostHog collects information such as:
- Pages and features you visit within Wordwriter AI
- Buttons clicked and actions taken (e.g., generating content, saving documents)
- Session duration and frequency of use
- Device type, browser, and operating system
- Approximate location derived from IP address
- A pseudonymous user identifier linked to your account (for logged-in users)
We use this data to:
- Understand which features are most valuable to users
- Identify bugs, performance issues, and friction points in the user experience
- Measure the impact of new features and product changes
- Generate aggregated, anonymized statistics about how our Services are used
PostHog may also record session replays (anonymized recordings of user interactions) and heatmaps to help us improve usability. Sensitive input fields (such as passwords and payment information) are automatically masked.

Opt-out: You can opt out of PostHog tracking by adjusting your cookie preferences in our consent banner or by enabling “Do Not Track” in your browser (where supported).
Meta (Facebook) Pixel
We use the Meta Pixel, a tool provided by Meta Platforms, Inc., to:
- Measure the effectiveness of our advertising on Facebook and Instagram
- Understand User actions on our Site
- Deliver targeted advertisements to people who have visited our Site (retargeting)
- Find new audiences similar to our existing customers (“lookalike audiences”)
The Meta Pixel collects information such as IP address, browser data, pages visited, and conversion events (such as sign-ups or purchases). Google Ads and Other Advertising
We may also use Google Ads, LinkedIn Insight Tag, and similar advertising tools to measure campaigns and show ads for Wordwriter AI on third-party platforms.
Your Choices for Advertising
You have several options to control interest-based advertising:

- Browser settings: Block third-party cookies or use private/incognito mode
- Device settings: Reset or limit ad tracking on mobile devices

Note: Data collected through the Wordwriter Research Clipper browser extension is not used for personalized advertising or retargeting.
7. Browser Extension Privacy — Wordwriter Research Clipper
Wordwriter Research Clipper is a browser extension that allows users to save webpage citations, metadata, and selected excerpts directly into their Wordwriter books.
Information the Extension Collects
When you actively use the extension, we may collect and process:
- Webpage title
- Webpage URL
- Author name, if available
- Publication date or year, if available
- Text you explicitly select on the page
- Citation-related metadata needed to save the source
- Account and session information needed to determine whether you are signed in
- Information needed to retrieve your books and save clips to the selected book
- Limited browser-stored preferences, such as your last selected book
The extension only accesses webpage content when you choose to use it, such as by clicking the extension icon or using the “Clip to Wordwriter” context menu.
How Extension Data Is Used
We use extension data only to provide the extension’s user-facing functionality, including:
- Saving citations to your Wordwriter book
- Attaching selected quotes or excerpts
- Retrieving your available books
- Remembering extension preferences
- Authenticating your session
- Generating summaries if you choose the AI Summarise feature
AI Summarization in the Extension
If you use the AI Summarise feature, text you choose to summarize may be sent to Wordwriter AI’s underlying model providers (Google, OpenAI, or Anthropic) solely to generate the summary you requested.
Extension Data Sharing
We may share extension data only as necessary to:
- Authenticate users
- Retrieve books and save citations
- Support hosting, storage, AI processing, security, and support operations
- Comply with law or legal process
- Protect Wordwriter AI, our users, or the public
We do not sell data collected through the extension. We do not use extension-collected data for personalized advertising, retargeting, or interest-based advertising.
8. Legal Bases for Processing (EEA, UK, and Similar Jurisdictions)
If you are in the EEA, UK, Switzerland, or another jurisdiction requiring a legal basis, we process personal information under one or more of the following bases:
- Performance of a contract: To provide the Services you have requested
- Legitimate interests: To operate and improve the Services, prevent fraud, secure our systems, and communicate with users (where these interests are not overridden by your rights)
- Consent: Where required (e.g., for marketing cookies, certain marketing communications)

We do not sell personal information in exchange for money. If applicable law uses a broader definition of “sell” or “share” (such as California’s CCPA/CPRA), please see Section 11 for your rights.

Retention periods vary depending on the type of data and the reason we hold it. Generally:
- Account information: Retained while your account is active and for a reasonable period afterward
- User Content and prompts: Retained per the Terms of Service (see termination provisions)
- Payment records: Retained as required by tax and accounting law (typically 7 years)
- Marketing data: Retained until you opt out
- Logs and security data: Retained for a limited period for security and audit purposes
If your account remains inactive for more than six (6) months, we may delete your User Content and User Information.
11. Your Privacy Rights
Depending on where you live, you may have the right to:

- Correct inaccurate information
- Delete personal information
- Restrict or object to certain processing
- Withdraw consent where processing is based on consent
- Receive a portable copy of certain information

California Residents (CCPA/CPRA)

Note on “Sale” and “Sharing”: While we do not sell personal information for money, our use of advertising cookies (such as the Meta Pixel and Google Ads) may be considered “sharing” under the CPRA. You can opt out by clicking “Do Not Sell or Share My Personal Information” in our website footer or by adjusting your cookie preferences.
Other U.S. State Rights

How to Exercise Your Rights
To exercise your rights, contact us at [email protected] with the subject line “Privacy Rights Request.” We will respond within the timeframes required by applicable law (typically 30–45 days). We may need to verify your identity before fulfilling your request. You may also authorize an agent to make a request on your behalf, subject to verification.
12. International Data Transfers
We are based in the United States, and we may process and store personal information in the United States and other countries where we or our service providers operate. Our AI model providers, payment processors, and analytics partners (including PostHog) may also process data in multiple jurisdictions.
If you are located in the EEA, UK, or another region with data transfer restrictions, we use appropriate safeguards such as Standard Contractual Clauses (SCCs) approved by the European Commission and other measures to protect your data when it is transferred internationally.
13. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including:
- Encryption in transit (TLS/HTTPS)
- Encryption at rest for sensitive data
- Access controls and authentication
- Regular security monitoring and logging
- Vendor security assessments
However, no method of transmission over the Internet or method of electronic storage is completely secure. While we use commercially acceptable means to protect your personal information, we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.

Our Services are not directed to children under 13 (or under 16 in certain jurisdictions), and we do not knowingly collect personal information from children. Some browsers offer a “Do Not Track” (DNT) setting. Because there is no industry standard for how to respond to DNT signals, we currently do not respond to them. However, you can manage your privacy preferences using the tools described in Sections 5 and 6.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
- Material changes: We will provide notice at least thirty (30) days in advance by email, in-app notification, or prominent posting on our website before the changes take effect.
